Few events go over budget because of one big mistake. They go over because of many small ones that nobody planned for.
Set the Total First
Decide what you can spend before you look at venues. Then split it: as a starting point, about 40% for venue and catering, 20% for production, 15% for decor, 10% for entertainment, and 15% held back.
Keep a Contingency
That last 15% is not optional. Late guest additions, overtime, delivery fees, and weather plans all come out of it.
Read Every Contract
Look for service charges, minimum spends, overtime rates, and cancellation terms. These are where budgets quietly grow.
Track as You Go
Keep one spreadsheet with every quote, deposit, and final invoice. Update it weekly, not after the event.
Spend Where Guests Notice
Food, comfort, and timing matter more to guests than elaborate decor. If you have to cut, cut what nobody will miss.
