Got Questions?
We’ve Got Answers!

Find answers to common questions about our event planning services, pricing, and process.

General Questions

As early as you can. We suggest three to six months ahead for most events and nine to twelve for weddings, festivals, and large conferences, when venues and vendors book up first. A shorter timeline is often still possible; ask and we will tell you honestly.

Often, yes. It depends on the date, the size of the event, and what venues and vendors still have open. Send the quote request with your date and we will tell you quickly whether we can deliver it properly.

An itemized estimate: our planning and coordination fee, the venue, catering, decor, staging, audio-visual, staffing, and any other vendors your event needs, with the assumptions behind each line. Nothing is booked until you approve it.

Corporate events, private celebrations, special events, festivals, fundraisers, and exhibitions. For each we can take on the whole job, from concept and budget to on-site management and wrap-up, or only the parts you need.

A deposit secures your date, and the balance is split into milestone payments ahead of the event. The exact schedule and the cancellation terms are set out in your proposal before you sign anything.

Event Planning & Services

Both. Some clients hand us the whole event; others need a venue search, vendor coordination, or a day-of team. We scope the work around what you need and price only that.

Every package is a starting point. Add, remove, or swap any service, and we will adjust the plan and the estimate to match.

We coordinate the permits, licenses, insurance certificates, and venue paperwork an event needs, and work with the local authorities where the event takes place. Requirements vary by location, so we confirm them early in planning.

Every plan includes contingencies: backup suppliers, a weather plan for outdoor events, and a clear chain of contact on the day. Our coordinators are on site to solve problems before guests notice them.

We aim to lock the run of show, the floor plan, and the final guest count about two weeks before the event, so vendors have time to prepare. Small changes after that are fine; we will tell you if one affects the budget.

Pricing & Payments

Pricing follows the scope: the number of guests, the venue, the services involved, the date, and how much of the planning we take on. You get an itemized estimate, so you can see where the budget goes and where it can flex.

Yes. A deposit confirms your date and lets us reserve venues and vendors on your behalf. The amount is stated in your proposal.

Bank transfer and major credit cards. Invoices list the accepted methods and the due date for each payment.

Yes. Your planner, or a lead coordinator who knows the plan as well as they do, runs the event on site from setup to breakdown.

We can supply coordinators, registration and greeting staff, and stage managers, and arrange security, catering, and technical crews through trusted partners. Staffing is listed separately in your estimate.
